Lusaka Programme Manager, Nursing

Designation

The position is a Support Officer for our Monitoring, Evaluation, Research, Learning, and Advocacy (MERLA) and Admin functions within the nursing programme The Support officer will be responsible for supporting the project team in the administration and monitoring of our intervention.

Reporting

The post-holder will report to the Nursing Programme Manager and indirectly, the post holder will be relating to and working with the project team members in support of their work with partners. For example, colleges will be performing routine activities such as

quarterly workshops (4 quarters * 10 colleges = 40 workshops) and these will need routine support. Partners will also be gathering data regularly that require data bundles and basic support.

Key Responsibilities

Merla Support (45%)

  • Provide Administrative Support to the MERLA Officer and Managers related to their program activities and duties.
  • Support the administrative strengthening of the monitoring and evaluation (data entry, filing, basic research).
  • Provide consistent basic ICT support to partners in support of data collection (i.e. procuring and distributing data bundles when required)
  • Support the preparation of and maintenance of databases and support up-to-date storage and maintenance of data.

Team Admin Support (45%)

  • Preparation of Draft Official Letters and tracking incoming and outgoing letters between the organisation and partners
  • Coordinate meetings, appointments, and travel arrangements for staff and management.
  • Prepare meeting agendas, take minutes, and distribute meeting materials.
  • Support the tracking and follow-up of financial retirements and budget requests in the office.
  • Arranging logistics support for field support visits, training, and workshops
  • Supporting procurement and distribution of supplies between the organisation and partners
  • Support the development of data collection tools and data management systems.
  • Any other hands-on tasks assigned.

Organisation (10%)

  • Demonstrate integrity by modelling the organisation values and ethical standards.
  • Promote the vision, mission, and strategic goals of the organisation.
  • As one of the organisation’s staff members, play a part in supporting the development of the organisation and culture, and work closely with the Project Manager.

Qualifications, Skills, And Experience

  • Post-graduate degree, preferably in M&E, Business Administration, (i.e. Finance, Logistics, procurement and/or Education.
  • At least five (5) years of working experience in M&E/Administration
  • Good reputation in supporting teams.
  • Proven ICT skills, especially in MIS software and proficiency in MS Office tools.
  • A track record in basic administration, monitoring, and evaluation.
  • Willingness to support across a wide range of activities related to finance, logistics, procurement, and monitoring.
  • Plans, coordinates and organizes workload while remaining aware of changing priorities and competing deadlines.
  • Establishes, builds, and maintains effective working relationships with staff to facilitate the wider team and project goals.
  • Good understanding of M&E and Administrative tasks and willingness to learn new things.
  • Good standard of written and spoken English.
