Job Summary
We are seeking a highly motivated and detail-oriented Officer, Program Implementation to join our team. This role is crucial in ensuring effective program implementation through the management of program planning and reporting data. The ideal candidate will have a strong foundation in excel and database management, program management, and excellent communication and computer skills.
Location: Lusaka, Zambia
Reports to: Program Manager
Duration: 1 Year Contract
Key Responsibilities
Management of Program Tools and Databases
- Manage Excel Program Tools used for tracking and monitoring program activities
- Reconcile missing reports and ensure that the Excel trackers are up-to-date and accurate
- Perform weekly checks to ensure the accuracy and cleanliness of the data
Review of Training and Reporting Data
- Review planning data submitted by the provinces
- Review training reports and attendance data submitted by the provinces in the trackers
- Identify and address duplicate planning, attendee, and reporting data
- Analyze data to identify trends and challenges related to training implementation and completion
- Prepare weekly status updates on activity completion
Creation of Batch Files for Payment
- Create payment batch files to be reviewed by the Program Manager and Senior Finance team members
Collaboration and Communication
- Work closely with cross-functional teams to support programmatic data requirements to achieve key project goals
- Communicate effectively with cross-functional teams to share key updates on a weekly basis
- In collaboration with the programs team, respond to queries from provincial and district trainers (Ministry of Health) regarding data-related and payment issues
Documentation and Compliance
- Maintain comprehensive documentation of data processes and procedures
- Ensure compliance with data protection regulations and organizational policies.
Requirements
- Diploma in Public Health, Development Studies, Social Sciences, or a related field
- At least (2) years of experience in program management, monitoring and evaluation, or a similar role within the health sector or in an non -profit organization
- Strong organizational skills, with the ability to manage multiple tasks and priorities effectively
- Proficiency in using Microsoft Office tools, particularly Excel, Word, and PowerPoint
- Familiar with advanced excel functions and formulas, including Power BI
- Excellent communication and interpersonal skills, capable of working effectively with internal teams
- Experience in report writing and the ability to present information clearly and concisely
- Ability to work independently as well as part of a team in a fast-paced environment
- Knowledge of health programs, particularly in maternal and child health
- Experience with project management tools and methodologies
